In accordance with Regulation (EU) 2016/679 of 27 April 2016, relating to the protection of natural persons with regard to the processing of personal data and the free movement of such data, as well as Organic Law 3/2018 of 5 December 2018 on data protection and the guarantee of digital rights (LOPDGDD), the Institute management informs you that the data controller is: Harbour.Space BCN, S.L.U. This Privacy Policy explains how Harbour.Space collects, uses, and protects personal data in connection with the International Olympiad in Artificial Intelligence in Spain (hereinafter referred to as “Olympiad”) organized for students in Spain.

2. Purpose of Data Processing

Personal data is collected and processed for the following purposes:

  • Registration and management of Olympiad participants;
  • Verification of participant eligibility, including obtaining parental or guardian consent when the participant is under 14 years old;
  • Administration and delivery of online tests and competitions;
  • Communication with participants (email notifications, updates);
  • Issuance of certificates and awards;
  • Publication of results using anonymous participant tokens;
  • Statistical analysis and improvement of future Olympiads;
  • Sending information about related future educational activities.

The processing of personal data is based on the participant’s consent and on the necessity to fulfill Harbour.Space legitimate educational and administrative obligations. For participants under the age of 14, data processing is carried out based on the explicit consent of a parent or legal guardian, as required by the Spanish Organic Law 3/2018 (LOPDGDD).

4. Categories of Personal Data

The following information is collected during registration:

  • Full name;
  • Email address;
  • Region of residence in Spain;
  • School name;
  • Parent or guardian’s full name and email address (for participants under 14).

5. Data Retention

Personal data will be retained for up to 12 months after the Olympiad concludes, unless longer retention is required by law.

6. Data Sharing

Data may be shared with Spanish schools participating in the Olympiad and with authorized service providers involved in the event’s organization. These include:

  • Google Forms (for participant registration management);
  • Formspark (used for secure submission of online forms);
  • ActiveCampaign (used for email communication and participant updates);
  • Zapier (for automation and integration between internal tools);
  • Google Analytics (for statistical analysis of website traffic and usage).

All third-party providers comply with GDPR requirements and ensure data protection through Standard Contractual Clauses where applicable. No data is transferred outside the European Union.

7. Rights of Data Subjects

Participants have the following rights under GDPR and LOPDGDD:

  • The right to access. You have the right to request copies of your personal data. We may charge you a small fee for this service.

  • The right to rectification. You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.

  • The right to erasure. You have the right to request that we erase your personal data, under certain conditions.

  • The right to restrict processing. You have the right to request that we restrict the processing of your personal data, under certain conditions.

  • The right to object to processing. You have the right to object to our processing of your personal data, under certain conditions.

  • The right to data portability. You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

8. Children’s Data

Another part of our priority is adding protection for children while using the internet. We encourage parents and guardians to observe, participate in, and/or monitor and guide their online activity.

Participation in the Olympiad is open to individuals of all ages. However, participants under the age of 14 may take part only with verifiable parental or guardian consent. Harbour.Space does not knowingly collect, store, or process personal data from children under the age of 14 without such consent.

If we become aware that personal data has been provided by someone under this age without verifiable parental or guardian consent, we will take immediate steps to delete such data.

10. Cookies and Analytics

The Olympiad website uses only analytical cookies to improve functionality and understand user interaction. These cookies do not collect personally identifiable information. By continuing to browse the site, users consent to the use of analytical cookies. You may disable cookies at any time in your browser settings.

11. Data Security

Harbour.Space applies appropriate technical and organizational measures to safeguard personal data against unauthorized access, alteration, disclosure, or destruction. Access to data is limited to authorized personnel involved in the Olympiad’s organization.
